the levers that work
- Choose the commitment, not just the payment schedule. Monthly subscriptions cost 20% more than the paid-yearly prices. At 25 Standard users, that is $5,040/yr rather than $4,200/yr: $840/yr for flexibility. Paying monthly on an annual contract is still a year-long commitment. Annual prepaid subscriptions receive no refund for cancellation before the full term, apart from Microsoft's stated seven-day prorated cancellation window.
- Check whether Teams is doing work you already pay Slack or Zoom to do. The published US no-Teams annual prices are Basic $5.40, Standard $10.79 and Premium $18.79/user/mo. Monthly subscriptions are $6.48, $12.95 and $22.55. At 25 Standard users, the annual no-Teams price is $963/yr lower. Confirm migration and licence eligibility before changing an existing subscription.
- Separate Copilot Chat from paid Copilot Business. Copilot Chat is included with eligible Microsoft 365 subscriptions; agent usage can incur metered charges. The Business add-on requires a qualifying base licence and lists at $21.00/user/mo paid yearly, or $25.20 on a monthly subscription. Five unused add-on seats represent $1,260/yr at annual list price. Remove or reduce them only when your contract permits.
- The Copilot Business add-on is advertised at $18.00/user/mo for the first year, with an annual commitment. The offer runs from 1 Jul to 31 Dec 2026 for existing customers with an eligible Business plan. It excludes trials, cannot be combined with another offer and automatically renews annually. Microsoft can change or withdraw it. This is an add-on price, not the cost of the whole suite; recheck the offer before buying.
- New customers can compare the advertised Standard with Copilot bundle at $23.50/user/mo paid yearly against $35.00 for Standard plus the add-on at list. Premium with Copilot is advertised at $32.00. Microsoft's pages do not establish permanent bundle pricing or universal existing-customer eligibility. Ask for the renewal price and eligibility in writing; do not assume an existing tenant can switch to the bundle.
- Right-size the base licence. Basic includes web and mobile Office apps; Standard adds desktop apps, and Premium adds security and device management. Moving five Standard users to Basic reduces annual list spend by $420/yr, if browser apps meet their needs. Apps for business includes desktop apps but is not a replacement for a hosted business-email suite. Check every role before removing security or mail features.
